I run a program at my organization that requires me to contract out for medical services. We've used the same provider for the last 13 years. The contract is up for renewal, and my current provider was seriously outbid.

Sooo, tomorrow I have to call the project admistrator, my friend for the last decade, and tell her that she has lost our half million dollar contract. This is bugging me......alot. The company has given great service. They were simply too expensive.

Any suggestions on appropriate wording?

Any bets on if this woman will want to continue our monthly lunches?

Do you think she'll lose her job?!! GOD, I hope she doesn't lose her job.

I've no idea on the specifics of what you do or your bidding process but you can't give her the opportunity to match the bid you have?

I am assuming you two became friends through work, not before? Either way its a hard deal, but just assure her that they did indeed provide a wonderful deal, but as times are getting harder your company had to go for a contract they could afford and continue its best service. If shes a professional, she'll understand. She'll be upset, but she will understand. And if she is aprofessional. those lunches of yours will continue, because friendship and jobs may intermingle but they're not one and the same

DSD pretty much said what I was going to say, The lunches will continue if she's a professional.

She most likely won't lose her job as it isn't her fault that another company made a higher offer.

I hope things work out well for you.

No, I could find some technicality to start the RFP process over again though it would cost me lots of time and I would likely not have a new contract in place in time. I did seriously consider doing this. Though I suspect the results would be the same. I don't think the current company would meet the bid of the new.

Ah. Our bids range from anything to government contracts where you mail in a sealed bid, the open it publicly and that's that to private affairs where they beat us up all the time for a lower number. I didn't know how yours operated.

On the other hand, if it's not your choice, it's not your choice. I know it's easy for me to say but that's business and they simply weren't competitive.

Yes this is a gov't contract, sealed bids. It's my decision but, of course, it needs to be justified and since I'm spending tax-payer money I ought to get the best value.

You don't have to take a better bid to necessarily get the best value for tax payers money. You should be prepared to pay a premium for minimising risk - which staying with the current supplier that provides excellent service is doing exactly that - minimsing risk.

In fact by going with a much cheaper company, you are possibly gambling with tax payers money. Why is it so much cheaper? Are you sure that they can provide an equivalent service for vastly less money? There will also be an unstable transition period.

Lets put it this way. I would never buy a shirt for 5 bucks, even though they exist. In fact I will not spend less then 50 bucks. Why? I know that cheap shirts are fuc[/b]king sh[b]it quality.
